Invoices, offers and expenses, next to your people

Finance is an add-on for businesses registered in Kosovo. Issue VAT invoices, send offers with payment schedules, record expenses and see your profit, in the same workspace as your HR.

€19 a month or €190 a year per organisation, on top of Core or Complete.

Invoices

Tax invoices that hold up

Everything a Kosovo B2B invoice needs is checked before it is issued: your NUI and address, the client's NUI and address, the supply date and at least one line. Once issued, it is frozen.

  • Numbering without gaps

Each issued invoice takes the next number in a sequence that restarts every year, in a format you set. A draft has no number, so deleting one leaves no hole.

  • Kosovo VAT, rate by rate

Lines at 0%, 8% or 18%, with a VAT total for each rate charged. Not registered for VAT? Only 0% is offered, and the PDF says so.

  • PDFs in Albanian or English

One language per document, chosen by the client. Your logo, your company stamp and up to five bank accounts are printed on it.

  • Payments, in full or in part

Record each payment with its date, method and reference. The invoice shows what is paid and what is still outstanding.

  • Overdue, without a spreadsheet

Unpaid invoices past their due date are marked overdue every morning, and the list shows outstanding, overdue and drafts at a glance.

  • Corrections by credit note

An issued invoice is never edited. Cancel it with a reason and a numbered credit note is issued, with its own PDF; the original keeps its number.

Offers

Quote it, then invoice it in stages

Send the client an offer, agree how it will be paid, and let the instalments turn into invoices as the work is delivered.

  • Offers with their own numbers

Sending an offer numbers it and freezes it. A PDF goes to the client, with a valid-until date.

  • Payment schedules

Split an offer into up to twelve instalments that add up to 100%, or start from 100%, 50/50 or 30/40/30.

  • From accepted offer to invoice

Accepting an offer drafts the first instalment's invoice, and each next instalment is one click. The offer shows what has been invoiced and paid against it.

Expenses and reports

What came in, what went out

Costs sit beside income, so the profit for a month is one screen, not an export from three tools.

  • Expenses with receipts

Date, supplier, category, total and VAT, with the net worked out for you. Attach the receipt as a PDF, PNG or JPEG.

  • Profit by period

Income, costs and profit by week, month, quarter or year, on a cash or an invoiced basis, all net of VAT, with outstanding and overdue as of the period's end.

  • Reports you can take with you

Expenses by category, offers sent, accepted and not yet invoiced, and a chart of recent periods. Income, costs, expenses by category and profit download as CSV.

  • Payroll in the same picture

With the Payroll module on, the cost of finalized pay runs in euros, including the employer's pension contribution, appears in your costs as one total per period, never per person.

Clients and business details

Set up once, used everywhere

Finance is open to the Admin, HR and the Finance level. HR assistants, talent acquisition and employees do not see it.

  • Clients

Name, NUI, VAT number, address and contact details, and the language their documents are written in.

  • Items

A catalogue of what you sell, with unit, price and default VAT rate. Editing an item never changes an invoice already issued.

  • Business details

Your business name, NUI, VAT number, address, logo and stamp, entered once and used on every document.

  • Bank account alerts

Every change to your bank accounts is recorded and emailed to the Admin. A changed IBAN is emailed at once, because that is how invoice fraud starts.

Before you start
